museum rentals

We do offer filming and photography rentals of the museum space under certain circumstances. Please read the rental info below and contact us via email to obtain a rental contract.

Please note that a two (2) hour minimum is required for filming, and a one (1) hour minimum is required for photography. NLPM offers both hourly and day rates for rentals, which are outlined below. Please also note that full-day rentals are conducted during regular business hours (9AM to 5PM). Any activities that exceed this time frame will be charged overtime fees on a pro-rated basis, as per the overtime rates below. Unexpended time is not refundable.

Any off-hours rentals will be conducted under the overtime rate, and discussed with the NLPM Manager prior to the event.

Overtime Regulations:

Any bookings made that extend beyond regular business hours (9AM to 5PM) will be charged on a pro-rated hourly overtime basis. If the renter exceeds their Total Rental Time they will be charged the hourly overtime rate for those extra hours. Those bookings that are made entirely outside of business hours are considered Off-Hours Bookings, and will be charged entirely at the overtime rate.

Rates:

Museum space rented: $50/hr or $300/day

Overtime rate: $60/hr

Total Rental Time begins with the setup time (load in) and ends with the wrap-up time (load out). The museum does not provide storage space either before or after the agreed-upon rental hours. All property supplied by the renter(s) must be delivered, set up, and removed during the contracted rental time on the day of the event.

Terms of the Agreement

  • Payment due upon signing of contract.

  • Contact information for primary contact/renter due at signing of contract.

  • Contract is not valid until signed by the Newfoundland and Labrador Pharmacy Museum Manager.

  • Renter certifies on behalf of the organization that they will not discriminate on the basis of race, national origin, religion, gender, age, disability, or sexual orientation with respect to museum staff and attendance at the event.

  • Renter acknowledges that the Newfoundland and Labrador Pharmacy Museum has the right to charge any additional outlined overtime fees if the conditions in the document are not met.

Cancellation

The renter must provide a dated, written request for cancellation to NLPM. Upon cancellation, the following schedule will apply:

  • Eight (8) to thirty (30) days prior to the event, one quarter (25%) of fees paid are non-refundable.

  • Three (3) to seven (7) days to the event, one-half (50%) of fees paid are non-refundable.

  • Forty-eight (48) hours to the event, the total (100%) of fees paid are non-refundable.

No refunds will be made when the event is cancelled by NLPM due to the renter's noncompliance with terms and conditions. Also, NLPM will cancel the contract if it is found to contain false or misleading information. If circumstances beyond the control of NLPM force cancellation of the reservation, NLPM will refund all monies paid. If an event is cancelled due to a force majeure, all fees paid by the renter will be refunded. In either case, NLPM shall not be liable for any costs or damages suffered by the renter (over and above the rental fee) arising out of cancellation of the event pursuant to this section.

Food and Drink

Due to space limitations, the NLPM is not available for food or drink preparation, storage, or refrigeration. There is no food or drink allowed in the museum space, as food and drink can irreparably damage artifacts that are on display.

Decorations

Due to the delicate and easily affected nature of the NLPM artifacts, all decorations must be safe, subtle, and designed to cause no harm. Acceptable examples would be table decorations and free-standing decorations. The following are examples of prohibited decorations: glitter, metallic confetti, rice, birdseed, straw, hay, rose petals, tiki torches, sparklers, burning candles, and smoke machines. All decorations must be discussed with museum staff prior to installation.

Trash Removal

All trash and debris generated by the event shall be removed from the museum premises by the renter by the end of the event. The museum does not have a dumpster for disposal of trash.

Smoking and Alcohol

NLPM is an alcohol and smoke-free facility. NLPM will tolerate absolutely no drug use, smoking, or tobacco use in any form on the NLPM premises, including any restroom. Smoke machines are also expressly forbidden. Any guest violating these restrictions will be asked to leave the premises by the NLPM staff.

Decorum

The renter, renter's agents and guests are expected to behave correctly in keeping with good taste and propriety. Disparaging remarks or any type of physical violence will not be tolerated and will be cause for immediate expulsion. The renter and guests shall use the premises in a considerate manner at all times. For the safety and security of the renter and staff, the renter is forbidden to touch any and all museum artifacts. As this is an active museum that is focused on pharmaceutical history, there are dangerous and potentially harmful materials on display. One member of staff will be on hand during the rental period to ensure the safety and security of the collection, building, and staff. Conduct deemed disorderly at the sole discretion of NLPM staff shall be grounds for immediate expulsion from the premises and conclusion of the rental period. In such cases, no refund of the rental fee shall be made.

Permitted Use

The renter is authorized, pursuant to this contract to use the space to hold the event, and for no other purpose, unless NLPM gives the renter prior written authorization for additional permitted uses.

Assignment

The renter may not assign or transfer their right or obligations under this contract without prior written consent from NLPM.

Animals

No animals, except service dogs, are allowed in NLPM.

Power and Power Outages

As the NLPM is located in a historic building, there are no electrical outlets installed in the museum area. If the renter requires use of power, they are responsible for bringing their own: generator, extension cords, or battery-operated materials. The renter is responsible for discussing their power needs with museum staff prior to the event. There is a possibility of power outages during rental events. The NLPM is not responsible or liable for power outages.
